Our mission is to deliver world-class guest experiences while maintaining exceptional operational efficiency behind the scenes. We are seeking a Virtual Assistant with experience in construction, maintenance, or property renovation who can manage guest communication, coordinate field teams, and ensure that properties stay in top condition. This is a long-term role for someone proactive, organized, and reliable—someone who takes ownership, loves solving problems, and is ready to grow within a dynamic, fast-moving company that values precision and heart. 🛠 Responsibilities Guest Communication & Support Respond promptly and professionally to guest inquiries, booking messages, and special requests across Airbnb, VRBO, and Booking.com. Manage check-in and check-out communication, review house rules, and handle guest concerns. Follow message templates while maintaining a warm, human tone that reflects our brand. Operations & Vendor Coordination Coordinate with cleaners, handymen, and maintenance teams to ensure tasks are completed on schedule and at the highest quality. Track maintenance and renovation projects using Breezeway or similar task-management tools. Communicate with vendors and verify work completion through photos, updates, or reports. Identify recurring maintenance issues and suggest preventive solutions. Platform & Systems Management Oversee daily operations within the property management system (Guesty, Lodgify, or similar). Keep calendars, listings, and internal documentation up to date. Review automated messages and address exceptions when necessary. Create and refine SOPs (Standard Operating Procedures) to improve efficiency. Quality Assurance & Reporting Monitor guest reviews and escalate any rating below 5 stars. Audit listings to ensure accuracy in pricing, rules, and amenities. Track operational KPIs like response time, issue resolution speed, and vendor performance. Send daily end-of-shift summaries and weekly reports. Administrative & Team Support Participate in daily huddles with the remote team. Support the CEO and management with admin or follow-up tasks. Call and coordinate with local vendors, maintenance providers, and platforms as needed. ✅ Qualifications Experience in construction, maintenance, or renovation is strongly preferred. Minimum 1 year of experience in hospitality, property management, or Airbnb operations. Excellent written and spoken English with a professional, friendly tone. Proficient in tools such as Guesty, Lodgify, Breezeway, Slack, Google Workspace, Outlook, or Asana. Strong organization and follow-up skills with a proactive attitude. Reliable internet connection and backup power source. Must be available to work in US time zones (PST preferred). Fast learner who thrives in a high-responsibility environment and takes initiative. 🎯 Bonus Skills (Not Mandatory but Nice to Have) Experience managing 10+ listings or coordinating large teams. Familiarity with pricing tools such as PriceLabs, Beyond, or Wheelhouse. Background in hotel or guest services. Fluent in Spanish.
