The Talent Acquisition Operations Manager is a key leadership role responsible for managing and optimizing the operational aspects of the talent acquisition function supporting candidate onboarding. This position focuses on managing teams across multiple Geo’s (Colombia, Mexico and the US) and overseeing all onboarding activity (from offer through to hire). It involves implementing efficient workflows, driving data-driven insights, and ensuring a seamless candidate experience. The manager collaborates with stakeholders across the organization to align talent acquisition strategies with business objectives. Key Responsibilities: Team Leadership & Development: Lead and mentor a team of TA Operations professionals, across multiple Geos, fostering a culture of innovation, accountability, and professional growth. Service Delivery: Working in partnership with the TA team to ensure successful delivery - ensuring successful and timely completion and compliance of all onboarding activity including, for example, background checks, contracting, onboarding documentation requirements, etc. Process Optimization: Continuously review and refine TA processes, workflows, and tools to enhance efficiency, effectiveness, and scalability. Identify opportunities for automation, standardization, and streamlining of operations to improve productivity, enhance efficiency and accuracy, and reduce time-to-fill metrics. This will include development and implementation of relevant AI tools. Data Analysis and Reporting: Develop and maintain recruitment metrics, analytics reports, and dashboards to measure the effectiveness of talent acquisition strategies, track key performance indicators (KPIs), and provide actionable insights. Utilize data-driven approaches to identify trends, optimize processes, and make informed decisions. Applicant Tracking System (ATS) Management: Oversee the administration, configuration, and optimization of the applicant tracking system. Ensure data integrity, system updates, and compliance with data privacy regulations. Provide training and support to recruiters and hiring managers on effective use of the ATS Compliance and Policy Adherence: Ensure compliance with relevant labor laws, regulations, and company policies throughout the talent acquisition process. Collaborate with legal and HR teams to establish and update recruitment-related policies, procedures, and practices in alignment with compliance requirements. Vendor & Budget Management: Strategically manage a portfolio of talent acquisition vendors, negotiating contracts and evaluating performance to ensure maximum value. Candidate Experience: Champion a proactive and data-driven approach to enhancing the candidate and hiring manager experience. Implement feedback loops and leverage insights to continuously refine our hiring journey and build our employer brand Stakeholder Collaboration: Collaborate closely with Leaders across multiple Departments including TA, HR, Finance, Legal, Operations and other stakeholders to align TA strategies with business objectives. Provide guidance and support on operational aspects, including process improvement, technology adoption, and compliance. Provide regular updates and reports on recruitment activities, challenges, and successes Continuous Improvement: Stay updated on industry trends, best practices, and emerging technologies in talent acquisition operations. Proactively identify opportunities to enhance operational efficiency, optimize candidate experience, and drive continuous improvement in recruitment processes. Qualifications and Skills: Extensive experience in talent acquisition, recruitment operations, or a related field, with a focus on process optimization and operational management. Experience of managing onboarding, including background check completion, contracting processes, onboarding documentation requirements, etc Leadership experience with strong team management, communication, and stakeholder management skills. Experience of working across LATAM and the US Strong knowledge of end-to-end recruitment processes, applicant tracking systems (ATS), and recruitment technologies. Proficiency in data analysis, metrics reporting, and utilizing recruitment analytics to drive insights and improvements. Solid understanding of employment laws, regulations, and compliance best practices. Strong project management capabilities, including the ability to lead and execute complex projects with cross-functional teams. Strategic mindset with the ability to align operational strategies with talent acquisition and organizational goals. Innovative and forward-thinking mindset, staying updated on industry trends and emerging technologies to drive recruitment excellence.
