Overview I’m hiring a detail-oriented Operations Coordinator to manage CRM accuracy, inbox workflows, and follow-up execution for a service-based business. This is an execution-focused role. You will work from clearly defined checklists, SOPs, and dashboards. The ideal candidate is efficient, communicative, and comfortable working within set hours and expectations. Hours & Structure 8–12 hours per week Fixed weekly cap Async work with occasional check-ins Outcome-driven, not hours-driven Core Responsibilities Weekly Process auto-replies and bounced emails across multiple inboxes Manage inbox replies from email outreach tools (e.g., Woodpecker or similar) Update contact statuses, stages, last touch, and next action in Airtable Update deals for booked clients Post a weekly update outlining completed tasks Monthly Send follow-up emails for scheduled or completed meetings Input meeting notes into Airtable Maintain CRM pipeline accuracy and data hygiene Clean up lost or duplicate leads and move them to appropriate tabs Maintain a master deduped email list Campaign Support (As Assigned) Monitor support inboxes for newsletter bounce-backs and mark contacts Lost Execute clearly defined campaign tasks with specific start and end states Required Skills Strong experience with Airtable (CRM updates, data hygiene, deduplication) Experience managing inbox workflows and email outreach tools High attention to detail and accuracy Comfortable working from SOPs and checklists Clear written communication and proactive status updates Ability to flag scope issues early if work will exceed assigned hours All communication must stay within Upwork Do not contact me outside of Upwork
