Project Overview We are migrating away from BNBtally and want to fully automate our short-term rental accounting pipeline using Make.com. Our goal is to create a reliable, fully-automated, zero-touch workflow that pushes all bookings, changes, and financial data from our booking channels directly into QuickBooks Online, mapped to our existing Chart of Accounts, classes, and existing invoice structure. We operate a multi-property STR business, and this integration must be accurate, scalable, and compliant with tax reporting requirements. Scope of Work We need an experienced Make.com integrator to build a complete end-to-end automation covering: 1. Data Sources to Integrate Airbnb, VRBO, Lodgify, Google Bookings (webhook required) 2. QuickBooks Online Deliverables Automations must: 1) Create invoices and receipts using our existing BNBtally invoice structure 2) Map all revenue lines to our current Chart of Accounts 3) Classify income by property/class/location 4) Create or attach customers if needed 5) Apply/update payments, cancellations or changes (full or partial) 6) Map cleaning fees, lodging, pass-through fees, etc. 7) Map taxes to correct QBO tax liability accounts 8) Handle fees withheld by channels (Airbnb, VRBO, Google, etc.) 3. Booking Event Logic Automation must correctly process: 1) New bookings 2) Modified bookings 3) Cancellations 4) Refunds 5) Date changes 6) Extra charges / upsells 7) Host fees 8) Merchant processing fees (Airbnb/VRBO/Stripe/etc.) 9) Must ensure invoices stay in sync without duplication. 10) Requirements We are only looking for candidates with proven Make.com + QuickBooks Online builds, preferably in short-term rentals or property management. *Required Experience *Make.com advanced scenario building *Webhooks, scheduling, retries, and error handling *QuickBooks Online API + accounting logic *STR platforms (Airbnb, VRBO, Lodgify) *Deep understanding of STR accounting (cleaning fees, occupancy taxes, marketplace facilitator rules, etc.) *Mapping multi-property income to classes and accounts *Handling multi-channel payouts and host fees *Reconciliation-friendly invoice architecture Nice-to-Have *Prior experience replacing BNBtally or doing custom STR automations *Familiarity with platforms like OwnerRez, Hospitable, Hostaway, etc. Deliverables *Fully functional Make.com scenario(s) handling all channels *Documentation + flow diagram *Field mapping guide *Error handling & retry logic *Test runs with sample bookings from each platform *Integration connected to our live QuickBooks file *2 weeks of post-launch support/bug fixes Project Timing *Start: Immediately *Timeline: 1–2 weeks
