Executive Assistant Overview We are seeking a proactive and highly organized Executive Assistant to support daily operations, client communication, and internal coordination. This role blends administrative support, project coordination, client service, and light creative assistance. The ideal candidate is comfortable working in a fast-paced environment, communicates clearly in writing, and can manage multiple priorities with professionalism and attention to detail. Key Responsibilities Client Communication & Support Respond to client messages and inquiries promptly and professionally through approved communication channels Provide clear support for common client questions related to services, timelines, and deliverables Assist photographers with questions related to daily shoots, processes, and procedures Project Coordination & Quality Control Coordinate with the Quality Control Manager to ensure all daily jobs are completed and delivered on schedule Perform quality checks and assist with uploads when needed (not a primary responsibility) Update job orders and communicate changes clearly to relevant team members Content & Creative Support Perform light Photoshop editing when required (object removal, color and contrast adjustments, lot line additions) Support Lightroom portrait editing as needed Create basic graphics and reel covers for social media use Client Proposals & New Business Support Prepare and send client quotes based on established pricing guidelines Support new client onboarding and initial order setup Assist with planning written content and assigning social media tasks to the Virtual Assistant Social Media & Marketing Coordination Schedule content using Facebook Business Suite and related tools Assist with planning and execution of newsletters Support social media outreach initiatives during slower production periods Service Delivery & Operations Confirm all daily jobs are delivered to clients on time Order virtual staging services when required Monitor Matterport tours for expiration and coordinate refreshes or replacements Qualifications (Preferred) Experience in administrative support, client service, or a similar operational role Basic proficiency with Adobe Photoshop Familiarity with social media scheduling tools and Facebook Business Suite Strong written communication skills Ability to manage multiple tasks with accuracy and deadlines Proactive, solutions-oriented mindset Familiarity with real estate media workflows is a plus Skills & Competencies Organization and time management Clear written communication Attention to detail and follow-through Basic design and editing capability Adaptability in a fast-paced environment Collaboration and internal coordination Working Conditions Full-time, remote position Regular coordination with internal team members including Quality Control and photographers Occasional tight deadlines requiring task prioritization Performance Metrics Timeliness of responses to client inquiries On-time delivery of daily jobs (all deliverables due by 12:00 PM PST) Quality of work based on client feedback and internal review Accuracy of job order updates and quotes Consistency of social media scheduling and newsletter execution
